Comparison · Booking Software vs. Custom
Booking software or a custom booking system? Often the first step is keeping what you have.
If you pay for Calendly, Acuity, Square Appointments, Vagaro or Mindbody, you have three real options: keep it and embed it, integrate it more deeply, or replace it with booking built for your business. Here’s the five-year math for each, including where the subscription is the better deal.
Three ways to handle booking
| Option | What you get | Your cost |
|---|---|---|
| Keep your tool, embed it | Your existing booking link or widget placed on your new site, styled to match and tested on mobile. You keep paying your vendor. | $100–$200 |
| Keep your tool, integrate it | Booking buttons placed across your service pages, service- or staff-specific links, and widgets tested on real phones. | $200–$500 one time |
| Custom booking system | Your own booking flow, rules and client records on your website. No per-staff fees. | $1,500–$4,000 one time, on a site already on a hosting plan (otherwise add Core hosting at $60/mo) |
If your tool works and the bill doesn’t bother you, keep it. Embedding it runs $100–$200. Custom makes sense when the tool’s rules, fees or data limits are getting in the way of how you work.
The five-year math
The table starts at five staff (or bookable calendars) over five years. The custom side is a one-time build and assumes it runs on a site already on a hosting plan; otherwise add Core hosting at $60/mo. Change the team size below.
| Option | How it's priced | Total | Verdict |
|---|---|---|---|
| Calendly Standard1 | $10 per user / mo | $3,000 | About even |
| Calendly Teams1 | $16 per user / mo | $4,800 | Custom costs less |
| Acuity Scheduling Starter2 | $16 / mo (1 calendar) | Not offered at this size | — |
| Acuity Scheduling Standard2 | $27 / mo (up to 6 calendars) | $1,620 | About even |
| Acuity Scheduling Premium2 | $49 / mo (up to 36 calendars) | $2,940 | About even |
| Vagaro (per location)3 | $30–$90 / mo by team size (up to 7 users), more staff free | $4,200 | Custom costs less |
| Mindbody Starter4 | $79 / mo (per location, unlimited users) | $4,740 | Custom costs less |
| Custom booking system (ArdinGate) | $1,500–$4,000 once, assumes your site already has hosting | $1,500–$4,000 | You own it |
Each plan at its cheapest published rate (usually billed annually), plus required onboarding fees. Prices checked October 2026; vendors change them, so confirm on their pricing page. Your quote is fixed after a short discovery call.
At five staff
Against $1,500–$4,000 for a custom build: Calendly Teams totals $4,800 (custom costs less), Vagaro $4,200 (custom costs less) and Mindbody Starter $4,740 (custom costs less). Calendly Standard comes to $3,000 (about even). Acuity Standard covers up to six calendars for one flat price, $1,620: the two come out about even2.
For a solo practitioner
At one person, the subscription costs less. Acuity Starter totals $960 and Calendly Standard $600 over five years1, well under a custom build. If you work alone and the tool does what you need, keep it; embedding it runs $100–$200. Vagaro at one calendar comes to $1,800 (about even).
How each tool charges, and what that means as you grow
Calendly: per seat
Standard is $10 per user / mo and Teams $16 per user / mo, billed annually1. Every person who takes bookings adds a seat, so the bill grows in a straight line with your team.
Acuity Scheduling: by calendar count
Starter covers one calendar, Standard up to six and Premium up to 36, each at a flat monthly price billed annually2. That makes Acuity hard to beat on cost until you outgrow a tier.
Vagaro: by bookable calendar, with a cap
Vagaro starts at $30 a month per location and adds a fee per bookable calendar up to 7, topping out at $90 a month; staff beyond that are free3. Larger teams get a predictable ceiling.
Mindbody: per location, plus processing
Starter is listed “starting at” $79 a month per location with unlimited users. Payments run through Mindbody’s processing at a rate plus a fixed fee of $0.10–$0.30 per transaction in North America4. On a busy schedule, those per-transaction fees can outweigh the plan price.
Square Appointments: per location, plus processing
Square Appointments is priced per location: Free $0 a month (2.6% + 15¢ in person, 3.3% + 30¢ online); Plus $49 a month (2.5% + 15¢ in person, 2.9% + 30¢ online); Premium $149 a month (2.4% + 15¢ in person, 2.9% + 30¢ online)5. The plan price doesn’t change with staff count, so on a card-heavy schedule the processing rate matters more than the monthly fee.
When an off-the-shelf tool is the right call
If one of these fits you, keep it.
- Calendly for meetings and sales calls. Teams adds round-robin distribution, lead routing and a Salesforce integration; Standard already collects payments through Stripe and PayPal1. Consultants and sales teams booking calls are its sweet spot.
- Acuity for intake forms and packages. Every plan includes custom client forms, and Standard adds packages, memberships and gift certificates. Premium will sign a BAA for HIPAA compliance2, which matters to clinics and therapists.
- Vagaro for salons and spas. It combines booking with payments and a card reader, email and text marketing, and a free listing on the Vagaro Marketplace so new clients can find you3.
- Mindbody for fitness and wellness studios. Starter includes business management tools, integrated payments, booking widgets and a listing on the Mindbody app4. If marketplace discovery brings you clients, a custom system can’t replace that.
- Square Appointments if you already use Square. The Free plan is $0 a month per location; you pay only processing5.
A marketplace listing is the one thing no custom build replicates. If a meaningful share of your new clients finds you through Vagaro or Mindbody, weigh that before switching.
When a custom booking system makes sense
Your rules don’t fit the settings page
Multi-location staff who move between sites, services that need two rooms or a specific machine, deposits that vary by service, or a cancellation policy with exceptions for regulars. Off-the-shelf tools offer a fixed menu of options. Custom booking follows your rules instead.
Booking should live with your client records
When booking is part of your own CRM or client portal, a client’s appointments, notes, invoices and documents sit in one place. No syncing between systems, no copy-pasting between tabs.
You’re adding staff
Per-seat pricing grows every time you hire. A custom system costs the same whether you have three people taking bookings or fifteen. You also choose your own payment processor and pay its standard card rate, with no booking-platform fee layered on top.
You want to own the data
Your client list and booking history live in your own database. You can report on it however you like, and it doesn’t depend on a subscription staying active.
Moving off your current tool
Start by checking what your tool and plan let you export. Most booking tools let you download your client list and appointment history, often as a spreadsheet. That file gets mapped into the new system during the build.
The switch itself is timed so nobody loses a slot: the old booking link stays live until the new system is tested, future appointments are carried over, and then the link on your site changes. Card details stored by a payment processor usually stay with that processor, so returning clients may need to re-enter a card once. Packages, memberships and gift-card balances need their own plan; list them before you cancel anything.
The verdict
Bottom line on booking software vs. custom
Solo, or happy with your tool? Keep it. Embedding it runs $100–$200, and deeper integration runs $200–$500. At five staff over five years, Calendly Standard totals $3,000 (the two come out about even) and Acuity Standard $1,620 (the two come out about even).
Consider custom booking when per-seat fees grow with every hire, your rules don’t fit the settings page, or booking belongs inside your own CRM or portal. Keep Vagaro or Mindbody if their marketplace brings you clients.
Questions about booking software vs. custom
Is booking software cheaper than a custom booking system?
It depends on team size. For one practitioner, Acuity Starter totals $960 over five years and Calendly Standard $600, against $1,500–$4,000 for a custom build, so the subscription costs less. At five staff, Calendly Teams totals $4,800 (custom costs less) and Acuity Standard $1,620 (about even). Per-seat pricing is what moves the math.
Can I keep my current booking tool and still get a new website?
Yes. Embedding your existing booking link or widget is a small add-on at $100–$200. If you want it wired in more deeply, such as service-specific booking buttons across your pages, links that open the right staff member or service, and widgets tested on real phones, that runs $200–$500.
Can I bring my clients and appointment history into a custom booking system?
Usually, yes. Most booking tools let you export your client list and appointment history, often as a spreadsheet file. Check what your tool and plan allow before you cancel. That file gets mapped into the new system during the build, and future appointments can be re-entered or imported so nobody loses a slot. Payment card details stored by a processor generally stay with that processor.
Do I still pay card processing fees with a custom booking system?
Yes. A custom system connects to a processor such as Stripe, and you pay that processor’s standard card rate directly. What changes is that there is no booking-platform fee on top, and you pick the processor. Deposits and payment at booking are part of the custom build; you pay your processor’s card rate.
Can a custom booking system take deposits and enforce a cancellation policy?
Yes. Deposits, no-show fees, cancellation windows, buffer times and service-specific rules are written to match how you actually run your day, rather than picked from a fixed settings list.
Can AI be added to a booking system?
Yes. If you already use an AI service (OpenAI, Claude, Gemini, or any provider with an API), it can be connected to your booking system to summarize client notes, draft confirmation and follow-up messages, or answer questions about your schedule and records. You keep your own account and pay the provider directly for usage, and nothing it suggests changes your data until someone on your team approves it. Adding it runs $2,500–$6,000.
