Pipedrive Lite is cheap and good. The higher tiers change the math.

Pipedrive gives a small sales team a clear visual pipeline in an afternoon. It charges per seat, on four tiers, and the features most teams grow into sit on the upper ones. Here's where a custom build costs less, where it doesn't, and what else to weigh.

What 10 seats cost over five years

Pipedrive charges per seat at four annual rates: Lite $14, Growth $39, Premium $59 and Ultimate $79 per user a month1. A custom CRM is $6,000–$11,000 to build; with Core hosting, five years comes to $9,600–$14,600 whatever your headcount.

At 10 users, Lite costs less than a custom build; Growth, Premium and Ultimate cost more. At 3 users, Lite and Growth cost less than a custom build; Premium and Ultimate come out about even. If Lite does the job, stay on it: a custom build won't pay for itself on price alone. Change the team size and term in the calculator to see your own numbers.

Four tiers, and what each one adds

Lite covers the core: leads, deals, contacts, activities and the pipeline itself. It doesn't include email sync or automations. Those start at Growth, along with email templates, open and click tracking, group emailing, sequences, a meeting scheduler and the forecast view. If your team works from email, Growth is likely the real starting point.

Premium adds Smart Docs, Projects and the LeadBooster add-on, required and formula fields, automatic assignment, multiple email account sync, a team inbox, organization data enrichment and phone support. Ultimate adds contact data enrichment, security alerts and security rules. That's per Pipedrive's own plan breakdown; check it against the features you'd actually use.

The catch is the seat model. Every tier is priced per seat, so when one feature pushes you up a tier, the price gap is multiplied by your headcount. A custom CRM charges for the build, not the login: adding a user adds nothing to the bill. New modules or integrations still cost money, so custom isn't free after launch. What triggers the next bill is different.

Annual vs. monthly billing

Pipedrive's annual rates are 20–42% below its monthly rates. Monthly, the four tiers are $24, $49, $79 and $99 per seat1. Lite has the biggest gap at 42%.

For 10 users on Growth, monthly billing comes to $29,400 over five years, $6,000 more than paying yearly. The cost table above uses the annual rates, so it shows Pipedrive at its cheapest. If you pay month to month for flexibility, add that difference to every line.

What Pipedrive does well

Pipedrive is built around one idea: the deal pipeline. Deals sit as cards in stages, and your team drags them forward. It's easy to read at a glance, and a small team can be working in it the same day. There's a free trial, a large marketplace of integrations, and you don't own any software to maintain.

That focus is also the boundary. If your sales process is mostly moving deals through stages, Pipedrive fits it well. If the work after the sale matters as much (job handoff, quoting rules, approvals, client records your whole company uses), you'll be stitching tools together or configuring around the pipeline. That's where a CRM built around your process earns its cost. See what a custom CRM looks like in practice.

Leaving Pipedrive: what exports and what doesn't

Pipedrive's Export data tool (under Tools and apps) downloads deals, people, organizations, activities, notes, products, leads and projects as CSV or Excel files. A global admin or a user with export permission runs it, and each person only exports what their visibility group lets them see. Activities, notes and files linked to deals and contacts come out as separate exports, and generated files stay available for 28 days.

The safe path: export everything, map each field into the new CRM, import into a test copy and reconcile counts before launch. Automations and settings don't move as data; they get rebuilt around how you work. Your Pipedrive account stays live until the new system is tested.

When Pipedrive is the right call

Stay on Pipedrive if a small team runs a standard sales pipeline and Lite or Growth covers it. At that size the subscription costs less, setup is fast, and you aren't taking on a software project. It's also a sound choice if you're still figuring out your sales process; a subscription is easier to walk away from than a build.

A custom CRM fits when your process is stable, specific and outgrowing the pipeline model, or when Premium and Ultimate features are multiplying across seats. Read the broader Subscription CRMs vs. Custom guide for the ownership and maintenance tradeoffs, or compare HubSpot and Salesforce.

The verdict

Bottom line on Pipedrive vs. custom

At 10 users over five years, Lite costs less than a custom build; Growth, Premium and Ultimate cost more. A custom CRM with Core hosting totals $9,600–$14,600; Growth, the first tier with email sync and automations, totals $23,400.

For a few people on Lite or Growth, stay on Pipedrive unless the process itself is the problem. At 3 users, Lite and Growth cost less than a custom build; Premium and Ultimate come out about even.

Questions about Pipedrive vs. a custom CRM

Is Pipedrive cheaper than a custom CRM?

It depends on the plan and your team size. At 10 users over five years, Lite costs less than a custom build; Growth, Premium and Ultimate cost more. At 3 users, Lite and Growth cost less than a custom build; Premium and Ultimate come out about even. A custom CRM with Core hosting is $9,600–$14,600 over the same five years, and that figure doesn't change when you add a user.

How much does Pipedrive save with annual billing?

Paying yearly instead of monthly takes 20–42% off the seat price, depending on the plan. On Growth that's $120 a seat each year. The cost table on this page uses the annual rates, the lowest Pipedrive publishes.

Can I bring my Pipedrive data over to a custom CRM?

Yes. A global admin, or a user with export permission, can export deals, people, organizations, activities, notes, products, leads and projects from Pipedrive as CSV or Excel files. Those files get mapped into the new CRM during the build, so you launch with your pipeline and history in place. Each person can only export what their visibility group lets them see, and automations don't export as data; they get rebuilt to match how you work.

Can AI be added to a custom CRM?

Yes. If you already use an AI service (OpenAI, Claude, Gemini, or any provider with an API), it can be connected to your CRM to summarize notes, draft emails and replies, or answer questions about your records. You keep your own account and pay the provider directly for usage, and nothing it suggests changes your data until someone on your team approves it. Adding it runs $2,500–$6,000.

When should I stay on Pipedrive?

Stay when a small team runs a standard deal pipeline and Lite or Growth covers it. Pipedrive is quick to set up, the pipeline view is clear, and at that size the subscription is hard to beat on cost. A custom build earns its place when your process no longer fits the pipeline model or the higher tiers start multiplying across seats.
